A note about appointments

At On the Pulse Clinic, Sinéad gives each client time, personalised care and an approach built on working together. Mutual respect is an important part of that relationship.

We understand that illness, bereavement and other unavoidable life events happen. Please get in touch as soon as you can so that we can discuss your circumstances.

As a small practice, each appointment is time reserved specifically for you. Giving at least 36 hours’ notice when cancelling or rescheduling allows us to offer that time to another client.

Please arrive on time so that you and the clients following you can each receive your allocated appointment time. If an unavoidable delay with a previous client affects your appointment, Sinéad will message you to let you know.

Cancellation, rescheduling & payments

Reschedule with at least 36 hours’ notice

Your deposit or full payment transfers to your new appointment.

Cancel with at least 36 hours’ notice

You may choose a refund, less the original Stripe payment-processing fee, or transfer your payment to a future appointment. This applies regardless of the reason for cancelling.

Cancel or reschedule with less than 36 hours’ notice

The full appointment fee is payable unless an exception is agreed. Payments already made are applied to this charge. If you paid a deposit, a payment link will be sent for the balance. A new appointment requires separate payment.

Miss an appointment without notice

The full appointment fee is payable, as above.

Illness, a funeral or other extenuating circumstancesPlease contact Sinéad as soon as possible. At her discretion, the cancellation fee may be waived. You may then choose to transfer your payment or receive a refund, less the original Stripe payment-processing fee.

The clinic cancels your appointment

All payments for that appointment are refunded in full, with no processing fee deducted.

Appointment reminders

You will receive a reminder by text and email 48 hours before your appointment. Please keep your contact details up to date. You remain responsible for attending or giving the required notice if a reminder does not reach you.

Health insurance

Acupuncture visits at On the Pulse Clinic are covered by participating health insurance providers. Eligibility and the amount reimbursed depend on your individual plan. Receipts are supplied for appointments attended.

Cancellation and missed-appointment charges are not payment for treatment received and cannot be submitted as claims for acupuncture treatment.

Your first visit & treatment consent

Your first visit includes a full assessment and discussion of a proposed treatment plan. Everything will be explained on the day, including what treatment involves, its expected benefits, possible risks and reasonable alternatives. You will have the opportunity to ask questions.

Consent is obtained during your appointment, after assessment and discussion of the treatment plan and before treatment begins. Booking or paying for an appointment does not replace consent to treatment.

You may decline any part of treatment, request a pause or stop at any time. You do not need to give a reason.

Health information

Relevant health disclosures are required at your first visit. Please provide information about your medical conditions, current medicines and supplements, allergies, recent operations and other ongoing treatment.

Please bring an up-to-date medication list and any relevant medical reports. Tell Sinéad about any changes to your health or medication during your care.

Confidentiality

Your personal and health information will be handled confidentially and in accordance with applicable privacy and data-protection requirements.

Relevant information may be shared with healthcare professionals involved in your care where appropriate and lawful. Wherever practicable, you will be informed beforehand, unless an urgent safety concern or legal requirement prevents this.

Important information

Acupuncture does not replace necessary medical assessment or prescribed treatment. Seek urgent medical help for severe, sudden or rapidly worsening symptoms rather than waiting for your appointment.

Your choices & feedback

You are free to stop treatment or discontinue care at any time. Your decision will be respected.

If there is anything we could have done differently to improve your experience or support your care, feedback is welcome but entirely optional.

Booking acknowledgement

Clients booking their initial appointment online are required to acknowledge these terms during booking.

A link to these terms is included in every booking confirmation email. Clients booking by phone or WhatsApp provide a signed acknowledgement at their first visit.

Consent to treatment is obtained separately during the consultation, after assessment and discussion of the proposed treatment plan.
